Position Overview:
The PDI Coordinator plays a crucial role in the administration and customer service operations of the Professional Development Institute. As the primary point of contact for clients and potential clients, the Coordinator manages all office procedures, ensuring efficient and courteous service in a dynamic, fast-paced environment. This role requires close collaboration with various departments to support the Institute's operations and administrative functions. In addition to administrative duties, the Coordinator is responsible for managing social media content and overseeing the administration of standardized tests such as IBT TOEFL and SAT.
Key Responsibilities:
- Provide exceptional customer service by addressing client inquiries and requests promptly and accurately.
- Maintain accurate records of courses, students, and instructors.
- Coordinate and manage course and program schedules in collaboration with the PDI team.
- Organize and book classrooms, offices, meeting rooms, and other spaces for various functions.
- Manage office supplies and ensure the maintenance of storage areas.
- Support staff with travel arrangements, expense tracking, and program supplies.
- Process internal paperwork for the PDI team.
- Assist with organizational functions and general meeting support, including arranging and following up on interviews and calls.
- Handle ESL and language course evaluations and customer complaints, escalating issues as necessary.
- Liaise with departments such as FMD, Purchasing, and Finance when required.
- Order and maintain stock of course materials, books, and testing supplies.
- Create and manage engaging content on social media platforms (Facebook, Instagram, LinkedIn).
- Grow and engage the audience through strategic social media management.
- Correspond with external testing agencies, including ETS, Pearson VUE, and College Board.
- Oversee and conduct individual and group standardized tests, including occasional Saturday test dates.
- Communicate and respond to emergency issues as directed by the PDI Director.
- Perform additional duties as assigned by the Director in line with the role and the incumbent's skills and experience.
Qualifications and Skills:
- Bachelor's degree required.
- Minimum of 2 years of experience in a similar role or environment.
- Proven ability to adapt to a rapidly changing environment.
- Strong organizational skills with attention to detail.
- Proficiency in office software (Word, Excel, Outlook, PowerPoint).
- Excellent language skills in English and Kurdish; Arabic is preferred.
- Outstanding communication and interpersonal skills.
- Ability to work collaboratively across interdisciplinary teams.
- Enthusiastic, dedicated, and self-motivated with a strong initiative.
- Exceptional problem-solving abilities.
- Customer-focused with a strong knowledge of products and services.
- Team-oriented, with a passion for collaborative work.
- Public speaking skills are an advantage.
